Crystal Aroma Diffuser Samples: A Pre-Production Approval Checklist
Define a crystal aroma diffuser sample, container, fragrance reference, packaging and acceptance record before approving a custom production order.

Approve a crystal aroma diffuser sample only after you have identified the exact component set, fragrance reference, intended use and packaging revision. A visual approval alone leaves questions about liquid compatibility, leakage, instructions and later substitutions unresolved. This checklist is a purchasing template; it does not establish that a particular format is available from a supplier or has passed product testing.
Identify what the buyer is actually approving
“Crystal aroma diffuser” can refer to different component arrangements. State whether the project includes a container, decorative material, fragrance liquid, refill, applicator, lid, insert or gift box. Record the material description as supplied, rather than assuming that a marketing name specifies its composition.
| Approval item | Record in the sample sheet | Question before sign-off |
|---|---|---|
| Component set | Each included part and supplier reference | Does the production quote include the same set? |
| Container | Material, dimensions and finish reference | Has compatibility with the proposed liquid been reviewed? |
| Fragrance | Reference code and intended instructions | Which uses, claims and markets need further review? |
| Decorative material | Description, appearance and placement | What substitutions require approval? |
| Closure or refill | Fit and packaging arrangement | What leakage or handling evaluation is required? |
| Artwork and packaging | Revision numbers and physical references | Does the packed sample represent the intended order? |
Separate appearance checks from technical acceptance
Use photographs to record color, finish, arrangement and artwork placement. Use appropriate documented evaluation to address the container-liquid combination, closures and transport arrangement. An attractive photo cannot prove compatibility or shipping performance.
Ask the supplier to identify required evaluations, the responsible party and the evidence that will be available. Set acceptance criteria with the appropriate technical support for the actual product and market. Avoid making numerical limits up during a purchasing discussion.
Use one approval record
A useful record contains project and SKU codes, sample identifier, date, component references, artwork revision, open issues, decision, approving person and any restrictions. The decision can be approved, approved only for specified visual features, or resampling required. Conditional approval must say what remains unresolved and who will close it.
Retain the approved sample or a clearly identified reference where practical. If fragrance, container, closure, material or packaging changes, decide whether the relevant evaluation and approval need repeating. Do not rely on an informal message saying “same as last time.”
Verify supplier scope before committing
Confirm supply availability, minimum quantities by variation, sample cost, development responsibility and timing. The public product catalogue shows currently published formats; a sourcing guide is not a product availability promise. If your diffuser configuration is not listed, include a reference image and component list in your enquiry.
Buyer questions
Can I approve a diffuser from photographs alone?
Photos can support appearance review. They cannot establish fragrance experience, liquid compatibility, leakage performance or the adequacy of use instructions.
What if the sample uses a temporary box?
Approve the product and packaging separately, and require the final packaging reference before production packing is confirmed.
What should happen when a component changes?
Record the change, review its effect on the product and decide whether replacement samples or further evaluation are needed before acceptance.
Review the sampling and approval workflow, then send your component list for a scope review. Include unresolved technical questions so the team can confirm the next step instead of assuming a standard configuration.
